Who handles your information

What we collect and why

For fuel enquiries, we collect your name, phone number, email address, selected service, message and, if supplied, company. We use these details to review your requirements, respond and arrange requested services. Required fields are marked on the form; without them we cannot accept an online enquiry. You can contact us directly instead. Please avoid including identity documents, payment details or other sensitive information in your message.

Fuel-update registration is optional. We record your email, any optional name, phone, town or preferences you provide, your consent choice and its date. This is separate from submitting an enquiry. New registrations remain pending while email verification and delivery are unavailable. We do not currently send automated fuel alerts or enquiry notification emails.

Our hosting services process technical request information, such as IP addresses, for website delivery and security. The application uses a hashed request identifier to limit repeated form submissions in 15-minute windows; expired entries are cleared during subsequent accepted rate-limit checks.

Access and service providers

Enquiries and subscriber records are stored privately, with application access restricted to authorised administrators. The website uses OpenAI Sites and Cloudflare hosting and database infrastructure. These providers process information to operate the service; infrastructure and support processing may take place outside South Africa. Contact us for information about the safeguards applicable to your records.

If you choose email or WhatsApp, those services handle your message under their own privacy terms. External news links take you to the publisher’s website. The website application does not include advertising trackers or third-party analytics, and it does not make automated decisions about your eligibility for fuel supply.

Previous website records and retention

Our migration preserves existing enquiries, subscriber preferences and opt-outs. An old “active” status is not treated as proof of fresh consent. Legacy account records do not grant access to the new administration area.

The current system has no automatic deletion schedule for enquiries or subscriber records. Retention is reviewed manually against the purpose of the enquiry, continuing service needs and applicable legal obligations. You can request review or deletion using the contact details above. We may need to keep limited records to meet legal obligations or record an opt-out so you are not subscribed again. Migration archives and backups may also contain earlier records and must be considered when handling your request.

Cookies and browser storage

Public information pages can be browsed without signing in. Administrator sign-in uses the hosting platform’s authentication cookies. The website does not use optional marketing cookies. Older versions may have stored a welcome-message dismissal preference in your browser; clearing this site’s browser data removes it.

Your choices and rights

You may ask what personal information we hold about you, request access or correction, object to processing, request deletion where applicable, or withdraw consent to fuel updates. We may ask for enough information to verify your identity before disclosing or changing a record. Contact us using the details above; do not send identity documents unless we agree a suitable verification method.

Use a valid unsubscribe link where available, or email us to stop updates. An old or incomplete link does not prevent you from contacting us to opt out. You can also lodge a complaint with South Africa’s Information Regulator, email enquiries@inforegulator.org.za, or call 010 023 5200. Its POPIA forms provide further request and complaint guidance.
